What TaskQo records, who can see it, where it is kept and for how long, in the order you would ask.
1. Who we are, and who is responsible
TaskQo is provided by Cloud Ventures, LLC, 99 Wall Street, New York, NY 10005, USA (“TaskQo”, “we”). TaskQo is software that an agency or business uses to understand the work of its own team.
The agency is the controller of its team's data: it decides what is recorded, for whom and for how long, and it must tell its team and get any consent the law requires. TaskQo is the processor: we run the software and keep what the agency sets it to keep, under our Data Processing Agreement. For the account details of the people who sign in to manage an agency, we are the controller.
2. What can be recorded
Each kind of capture is a separate setting an agency turns on. Nothing here is on by accident.
- Hours worked, and which application and website is in front.
- Screenshots of the work screen, at the interval the agency sets.
- Screen recordings: short video of a shift.
- Activity level: counts of key presses and mouse clicks per minute. Counts, not what was typed.
- Typed text, only if the agency turns it on, with anything that looks like a password masked on the computer before it is sent.
- Location, only if the agency turns it on: where the computer is, from the operating system's location service, during a shift.
- Calls: audio from the agency's phone system, or from the computer when the agency turns that on, with a transcript, a summary and a review of how the call was handled.
- Sales Coach practice calls, only when the person starts one and has agreed to the practice terms: their voice on a practice call with an AI customer, its transcript and its result. Practice is for training only. It is never used for warnings, pay or discipline, and it is judged on the words said, never on tone, mood or emotion.
- Computer details, if the agency turns them on: the devices plugged in (for example a USB drive), restarts and the computer's health.
Recording happens only while a shift is running. It stops when the shift ends, when the person pauses the desktop app for private time, and straight away if their access is suspended.
TaskQo does not use the webcam, does not collect biometric identifiers (no face prints or voice prints), and does not infer team members' emotions, mood or tone.
3. Notice and consent
Nothing is captured for a person until they have accepted the notice in the desktop app. The server refuses every kind of capture for someone without consent on file, and when the agency turns on a new kind of capture the person is shown the notice again before it starts. An agency can see who has accepted. The desktop app can be paused at any time by the person using it, and pausing stops capture at once.
4. What the AI does, and who runs it
Screenshots are sorted into productive, unproductive or idle. Calls are transcribed in the language spoken, summarised, and reviewed for how they were handled. These are AI-assisted results: they can be wrong, a person at the agency can correct them, and the corrected result is what counts. Decisions about a person are made by people at the agency, not by the AI.
The AI runs on models from the companies listed on our sub-processors page, including companies outside the United States. Each agency chooses which AI does each job, so it can keep to US providers only. Text sent to the Z.ai models has names, email addresses and phone numbers removed first.
Customer data, including call audio and transcripts, is never used to train or improve TaskQo's or any vendor's AI models.
5. Who can see it
Access follows the role. An agency owner or admin sees the whole agency. A manager sees only the teams they manage. A team member sees their own hours, screenshots and calls, and nobody else's. TaskQo staff see agency settings and totals for support and billing; they do not open a person's screens or listen to their calls.
One agency can never see another's data: every request is checked against the membership behind the signed-in session.
6. Where it is kept
Screenshots, recordings and audio are stored in Cloudflare R2, encrypted with a key that belongs to the agency. The application and its database run on servers in Malaysia (Hostinger), and encrypted backups are kept in Cloudflare R2. Data may be processed in the United States and other countries by the companies on the sub-processors page.
7. How long it is kept
These are the standard periods. An agency can set its own period for screenshots, recordings and call audio.
| What | Kept for | Notes |
|---|---|---|
| Screenshots | 30 days | The image is deleted; its category and summary stay. |
| Screen recordings | 7 days | |
| Call audio | 90 days | |
| Sales Coach practice recordings | 90 days | The agency can set a shorter period (7 days or more). The transcript and the result stay. |
| Call transcripts | Kept until the agency deletes them | The agency can set a period. Scores and summaries stay. |
| Typed-text activity | 90 days | Only if the agency turns it on. |
| Location readings | 90 days | Only if the agency turns it on. |
| Email delivery log | 90 days | Address, subject and outcome; message bodies are deleted once sent. |
| Audit log | 2 years | Who changed what in the agency. |
| Database backups | 30 days | Encrypted. |
When an agency closes its account, it can undo the closure for 30 days. After that, its data and files are deleted, the owner receives a deletion certificate, and billing records the law requires us to keep are kept without names or email addresses. Backups expire within 30 days.
8. Your rights
Depending on where you live, you may have the right to know what is held about you, to get a copy, to have it corrected, to have it deleted, and to object to or limit some uses. Because the agency decides what is collected, ask the agency first: it can export, correct and delete a person's data in TaskQo, and team members can send a request from their own page. If the agency needs our help, or you cannot reach it, write to admin@taskqo.com and we will pass the request on and help the agency answer it. We will not treat you differently for using these rights.
9. When someone leaves
Ending someone's access stops everything at once, sessions, the desktop app and all capture, and keeps what they already produced, because the agency still needs past work. A suspension can be undone; a termination cannot. An agency can also erase a person completely.
10. Security
Everything travels encrypted. Stored files are encrypted with the agency's own key, and backups are encrypted before they leave the server. Agency owners use two-step sign-in, sessions can be signed out from anywhere, and the most sensitive changes ask for the password again. If a breach affects an agency's data, we tell the agency without undue delay.
11. Changes and contact
When this policy changes, the date at the top changes and agency owners are asked to read the new version. Questions: admin@taskqo.com, or Cloud Ventures, LLC, 99 Wall Street, New York, NY 10005, USA.
